BioWare Edmonton has a terrific opportunity for a motivated, organized and enthusiastic self-starter. We are seeking applicants for the position of Manager of First Impressions for our Edmonton office. As the title of the position implies, this role is where first impressions are made for visitors, candidates, business partners, and reflects the importance of one of BioWare’s key Core Values; Quality in the Workplace! BioWare is a dynamic and creative studio offering a very unique work environment.

Under the direction of the Manager, Administrative Services and Director of Finance, the Manager of First Impressions will be the front line representative and communicator of the organization. This position also provides support to our office administrative team, and performs a variety of duties related to overall operational functions of the front end.

Responsibilities

  • Answers and directs incoming phone calls and inquiries to the appropriate individual.
  • Greets all visitors, professional and personal, following the sign in procedure.
  • Sorts, screens, and distributes incoming mail and processes outgoing mail following company regulations.
  • Creates and distributes company-wide communications as necessary.
  • Receives incoming and process outgoing packages and arrange courier services.
  • Prepares, receives, and routes all incoming/outgoing faxes.
  • Maintains, signs in and out, and updates the library system for all educational and gaming materials of the office. Orders new materials as required.
  • Manages contacts and calendar for team. Organizes schedules and facilitates weekly team meetings.
  • Participates in process improvement within departmental role.
  • Back up for the management and coordination of all aspects of food and refreshment ordering.
  • Back up for the coordination and management of offsite meetings.
  • Back up for the ordering of daily company breakfast order.
  • Provides administrative support to all departments as required.
  • Acts as office maintenance liaison.
  • Performs clerical functions incidental to reception activity.
  • Performs other duties as required.

Requirements

  • Office Administration Certificate an asset.
  • 2-3 years previous receptionist experience in a mid-to-large size organization.
  • Proficient in Microsoft Office Professional.
  • Ability to prioritize and handle several projects simultaneously.
  • Professional demeanor and superior communication skills.
  • Strong grammar and writing skills.
  • Attention to detail and pride in workmanship and work space.
  • Organized and methodical approach to task implementation.
  • Demonstrates reliable and punctual attendance.
  • Superior customer service philosophy and application.
  • Knowledge of Internet preferred.
